Clinicians Check collects, processes, and stores personal information about you to provide our service, which connects patients with the most suitable healthcare providers and allows you to review them. Your healthcare provider may also contact you separately from Clinicians Check to request feedback.

For patients, the personal data we process to facilitate your booking depends on your healthcare provider but generally includes detailed information such as name, age, sex, date of birth, contact details (telephone numbers and email addresses), insurance authorization code, address, details of your general practitioner, insurance policy number, healthcare provider booked, patient registration number (PHIN questions only), time of booking, date, and location of booking, and other relevant free text. If you receive a reply to one of your reviews, we will use your mobile number to inform you, unless you've asked us not to.

For healthcare providers, the personal data we handle includes but is not limited to age, sex, date of birth, contact details (telephone numbers and email addresses), details of your place of work, your qualifications, key search words, patient booking slots, and/or languages spoken.

Information you provide when creating an account with us and filling in appointment booking forms on the Clinicians Check webite to find an appropriate healthcare provider. Our contract with you to process your inquiry and connect you with the most appropriate healthcare provider. If you contact us with general customer service queries or report a problem with the Clinicians Check website. Our legitimate interest is to provide excellent customer service. When you make a booking, we share your personal data with the organizations involved in providing care to you, usually your insurance company and your healthcare provider.

Information you provide by filling in forms on the Clinicians Check website as a healthcare provider. Our legitimate interest is to connect patients with reliable healthcare providers. If you contact us with general customer service queries or report a problem with the Clinicians Check website. Our legitimate interest is to provide excellent customer service.

  1. Protecting and sharing information

As mentioned earlier, we only share identifiable information about patients to facilitate their care. Identifiable information about healthcare providers is shared as part of the reviews left by patients across the Clinicians Check website, which are generally available to the public. We may also share publicly available review data with insurance providers.

We also create anonymous data from the personal data flowing through the Clinicians Check website. This may include statistics on how many people experienced a particular injury in a geographical area. We do not commercialize patient identifiable data.

In the event that our business is sold, we will transfer your data to the purchaser because we have a legitimate interest to ensure our business can continue under new ownership. We may also be required to disclose your data if we are under a legal obligation to do so. For patients and healthcare providers who sign up to the Clinicians Check Network, we will store your data for a period of 6 years from the date the contract between us has been terminated.

For those who receive technical or marketing information from us, we will store your contact details until you unsubscribe or withdraw your consent to receive these communications. However, please note that we may retain limited details, such as your email address, in accordance with data protection law to ensure we do not contact you again.

For information provided in connection with reporting a problem with our service, we will store such information for as long as reasonably required to fix the problem and prevent any future occurrences, but in any event, no longer than 6 years.

When you contact us and we keep a record of that correspondence, we will retain it for as long as reasonably required.

  1. Storage of your data

The data we collect from you is stored on our servers and third-party servers based in the UK, EEA, UAE, or Australia, depending on your residency. In certain limited circumstances and at all times in accordance with the law, some data may be stored outside of these regions. Whenever we transfer your personal information outside of these regions, we ensure it receives additional protection as required by law.
